Adding word sets one-by-one: Video explanation and advice

This video will show you how to write word sets that will not fail when added to a word group by either the one-at-a time method or the multiple import method.

For this demonstration we will look at the one-at-a time method in the Update tab.

At its simplest all we need to do is to write a word and a definition or translation, then press Add Word Set.

If you click the question mark , you will be told that the word is required, its maximum length is 50 characters and the red characters are disallowed.

If you write a word with a caret, for example, it will not be accepted.

The definition or translation is also required, has a maximum length of 200 characters and the same set of disallowed characters.

The example sentence is optional. If you write one, its maximum length is 300 characters and has almost the same disallowed characters as the word and definition

However, it has one special requirement. It must contain a word between two stars. In most cases this will be the word from the first box. The example sentence is presented in quiz view with the star word missing. The user's task is to write this missing word.

Here is an example of an example sentence. You will notice that it is in the plural form. This slight difference, including the different form of a verb in its past tense, is perfectly fine as a star word.

Finally, we have the extra information box. This too is optional. You can use it to present yourself with extra information about the word you are learning.

It has a much greater maximum length and reduced set of disallowed characters. Importantly, it does not disallow the left and right chevrons that are used in html tags.

If you know html, you can format the extra information and add links or images.

Now another reminder. If you use the one at a time add method, it is a good idea to first write the items in another app such as a word processor or spreadsheet and then copy them into the input boxes. You then have a backup copy if anything goes wrong.

Importing multiple word sets: Video explanation and advice

This video will show you how to import words into new or existing word groups.

To do this you start with a spreadsheet app such as Microsoft Excel or Google sheets. I'm using Google Sheets here.

Here is a word group on the topic of animals. Each row of the spreadsheet is a word set. So here we have 10 word sets. Each word set has four cells or fields. The key word of the first word set is cat. This is the word that you want to learn and be tested on. In the second column is the definition but you could also write a translation as in these two cases of German translations.

The first two cells in each row are mandatory. If you don't write both the word and its definition or translation, then the import will fail.

If you wish, you can also add an example sentence to increase your learning and quizzing options.

The fourth cell in the row is optional like the example sentence. Here you can add useful extra information that you will be shown when quizzing or browsing the words. You can also add links to images or other webpages in this field.

Once you have finished writing your word sets, click the Manage tab and choose the word group into which you want to import the new words. If you want to import the words into a new word group, then write its name in this box and refresh the page. Your empty word group will appear in the list. Open the manage tab and click the Import button next ti your word group. This will open the import window.

Return to the spreadsheet and highlight the rows and columns by dragging the mouse cursor over the word sets you want to import. You can also highlight the range by clicking the first and last cell. It is important to highlight the example sentence and extra information columns, even if these are empty.

Now use one of the Copy methods to copy the word sets to the clipboard (for example Command or Control C) and then Paste (command or control V) the word sets into the input box in the import window. Finally, click the Import button.

If there are problems in the word sets, you will see a window telling you what you must fix before clicking Import again.

If the import does not find any problems with the word sets, the import window will close and you will see this message. It tells you that you need to refresh the page before working with the new data. Now you can browse through the new words you have added and quiz yourself on them.

Note that you can add single word sets one at a time in the Update tab. But you are strongly recommended to use the spreadsheet import method as it allows you to add a lot of word sets more quickly. And most importantly it allows you to save the spreadsheet file and import the data for use on a different device.
